Executive Assistant

Helical Levity is led by world renowned cyber security expert James Lyne and combines a team of world-class security researchers, designers and developers. Together we provide expert cyber security consultancy and build industry leading tools that, amongst other things, help to identify and develop new talent.

This role will be to act in support of James Lyne in a fast-paced, ever-changing environment. You would be required to be dynamic and able to work under your initiatives effectively.

As you would be responsible for the management of James's diary, it would be vital that you hold a proactive approach to management and a strong skill of prioritisation. It would be necessary to be thorough and to anticipate the needs of James and the business.

James's schedule requires him to travel frequently. This means the Executive Assistant will be the first port of call of enquires from both external and internal clients. You would require confidence and high communication skills, as staff will look to you for answers on the majority of matters in James's absence. It would be required that you hold an enthusiastic attitude towards building relationships with speaking agencies and private clients interested in booking James for talks etc. The Executive must hold confidentially and ethics at the highest degree, as you will be exposed to a number of government and business projects under works.

Due to the nature of both the business and James's working patterns, it would be required to be have a flexible, hands-on approach to work. Your hours of work maybe exceeded, even leaking into weekends (however avoided) should matters arise.

Key responsibilities

  • Booking travel arrangements - Flights, Transfers, Accommodation, Visas.
  • Responsible for organising team building meetings and events.
  • Responsible for director expenses, collecting and submitting monthly expense reports.
  • Point of contact for internal and external enquires.
  • Comfortable with dealing with confidential issues.
  • Comfortable with assisting on sight projects and ad-hoc tasks.
  • Ad-hoc research projects.
  • General admin tasks – Invoicing, answering phones, managing Xero, issuing communications via Slack.
  • Working with HR for on-boarding of new employee's.

Education and experience

  • Knowledge of standard office administrative practices and procedures.
  • Proficient computer skills.
  • One year EA experience.

Level and salary

  • Full-time.
  • Salary is negotiable and dependent on experience.
